Address Change Checklist
There’s nothing like an address change for a nonprofit to realize ALL the places that require an update. But it’s really important that everything gets updated, so your business records/documents are consistent and you don’t miss important information or legal notices!
Before ANYTHING else, sign up for mail forwarding with the US Postal Service. Click this link to get started and follow along with the video below.
After helping lots of clients through transitions (and changing the firm’s address a few times!), I’ve put together a checklist to help you through your nonprofit move.
- Internal Business Documents and Registrations:
- Articles of Incorporation/Organization (with the state)
- Operating Agreements or Bylaws
- Business licenses and permits (local, state, federal)
- Employer Identification Number (EIN) with the IRS
- Secretary of State
- Financial Institutions:
- Banks and credit unions
- Credit card companies
- Payment processors (e.g., PayPal, Square)
- Government and Regulatory Bodies:
- IRS (use our app to draft a letter notifying them of the address change here!)
- State Department of Revenue/Taxation
- Local tax authorities (county, city)
- Social Security Administration (for payroll purposes)
- Service Providers and Utilities:
- Internet and phone service providers
- Electricity, gas, water utilities
- Office space landlord or property management
- Insurance Providers:
- Business insurance (liability, property, workers’ compensation)
- Health insurance (if applicable)
- Business Partners and Vendors:
- Suppliers and vendors
- Distributors and logistics partners
- Professional services (accountants, lawyers)
- Customers and Clients:
- Update on your website and social media profiles
- Notify through email newsletters or direct mail
- Update address on invoices and receipts
- Marketing and Online Presence:
- Business website (contact page, footer, etc.)
- Google My Business
- Online directories (Yelp, Yellow Pages)
- Social media profiles (Facebook, LinkedIn, etc.)
- Mail and Package Delivery:
- United States Postal Service (USPS)
- Private courier services (UPS, FedEx, DHL)
- Employee Records:
- Payroll records
- Employment agreements
- Benefits providers
