Why do we need a Records Retention policy?
As a recipient of City grant funds, we are routinely audited by the City to gauge compliance and whether we follow best practices. The City audits the nonprofit to make sure it’s a “safe” place to grant money. Many of the items on the City’s audit checklist deal with financial controls and review, as well as the board’s continuing engagement and fulfillment of their fiduciary duties.
Having an Records Retention Policy does a few things:
- It makes sure you have a policy and procedure set up to help you stay organized
- It helps you pass your City Audits
- It makes sure you know where your stuff is, in the event that a member or director makes a records request as permitted by state law, you can find your documents.
- It makes it easy for you to provide access to board members who need to be able to access organizational records (but not change them – store past permanent records as viewable PDFs folks! Not editable Google or Word docs)
